Archiving Recordings and Rooms

How to archive and unarchive recordings and rooms and what this does.

If you no longer need a recording within a room or the entire room itself, you can archive it. If you ever need the recording or room again, you can unarchive them.

Archiving Recordings

❗️Before archiving a recording, make sure that there are no unfinalized tracks for any participant.

Archiving a recording:

  • Removes the recording from your main recordings list on the room’s Recording Page.

  • Deletes any local backups of the files contained in the recording, freeing up browser storage space.

  • Puts all recording and transcript files associated with the recording into archival storage, making them undownloadable from the Recording Page.

To archive a recording:

  1. From a Recording page, click the Produce button at the top center, the Create Your Podcast button in the middle right, or the View all recordings button at the bottom left.
    OR
    From your Dashboard, on the Rooms tab, click the Produce button next to the room that has the recording you want to archive.

  2. On the Produce page, locate the recording you want to archive and click the 3-dot menu to the right of the recording name.

  3. Select Archive.

  4. Read the archive terms and type the recording number in the field on the confirmation modal.

  5. Click the I understand, archive button.

Result: The recording is archived and its associated recording and transcript files are immediately placed into archival storage.

Archiving Rooms

❗️Before archiving a room, ensure there are no unfinalized tracks for any participant in any recording.

Archiving a room:

  • Removes the room from your main Dashboard page.

  • Deletes any local backups of the files contained in the room’s recordings, freeing up browser storage space.

  • Makes the Recording Page link(s) that are tied to the room inaccessible to you and anyone else who has the link.

  • Places all recordings and their associated files into archival storage, making those files undownloadable from the Recording Page and Produce Page.

To archive a room:

  1. From your Dashboard, Rooms tab, locate the Room you want to archive.

  2. Click the 3-dot menu to the right of the room name.

  3. Select Archive.

  4. Read the archive terms and type the room name in the field on the confirmation modal.

  5. Click the I understand, archive button.

Result: The room is archived and all of its recordings and their associated files are immediately placed into archival storage.

Unarchiving Recordings

Unarchiving a recording:

  • Places the recording back on your main recordings list on the room’s Recording Page.

  • Takes all recording and transcript files associated with the recording out of archival storage, making them downloadable on the Recording Page again within 12 hours.

To unarchive a recording:

  1. From a Recording page, click the Produce button at the top center, the Create Your Podcast button in the middle right, or the View all recordings button at the bottom left.
    OR
    From your Dashboard, on the Rooms tab, click the Produce button next to the room that has the recording you want to unarchive.

  2. On the Produce page, locate the recording you want to unarchive and click the 3-dot menu to the right of the recording name.

  3. Select Unarchive.

  4. Read the unarchive terms and click Ok, Got It on the confirmation modal.

Result: The unarchive process starts. Please note, this process can take up to 12 hours to complete. You will receive an email when the recording is unarchived.

Unarchiving Rooms

Unarchiving a room:

  • Places the room back on your main Dashboard page.

  • Makes the Recording Page link(s) that are tied to the room accessible to you and anyone else who has the link again.

❗️Unarchiving a room does not unarchive the recordings within the room. To access recording and transcript files within a room after it is unarchived, you need to unarchive each individual recording.

To unarchive a room:

  1. From the Dashboard, Rooms tab, click on the dropdown with Active.

  2. Select Archived.

  3. Locate the Room you want to unarchive.

  4. Click the 3-dot menu to the right of the room name.

  5. Select Unarchive.

Result: Your room is unarchived and added back to your active rooms list on your Dashboard.

If you have a connected Dropbox or Google Drive account, archiving a room or recording does not affect/archive the files saved there.

Does archiving a recording make postproduction files undownloadable?

If you archive a recording, it does not archive the postproduction files associated with it. If you would like to make the postproduction as well as the recording files inaccessible, you can archive the room.
